Terms of service
Last updated 31 October 2026
EPO ("Easy Purchase Orders") is provided by Easy Purchase Orders Limited (NZBN pending), Auckland, New Zealand ("we", "us"). These terms apply to the business that signs up for EPO ("you") and everyone it lets use EPO. By signing up, or by using EPO, you accept them.
1. EPO may stop at any time
We provide EPO as is and as available. We don't promise that it will work without interruption or errors, or that it will keep running.
EPO may stop working at any time, temporarily or permanently, with or without notice. That includes a technical failure, the failure of a provider we rely on (such as Microsoft Azure, Twilio or ElevenLabs), or Easy Purchase Orders Limited ceasing to trade. If EPO stops permanently, your information in EPO may not be recoverable, and we may not be able to return it to you. We'll try to give notice where we reasonably can, but we don't promise to.
2. Keeping your own records and backups
You are responsible for keeping your own records, including the business records the law requires you to keep (for example, for tax). EPO helps you raise and approve purchase orders. It is not your accounting or record-keeping system.
Your account owner and managers can download a full backup at any time from the EPO dashboard (Account, then "Download backup"). It holds every purchase order and approval as spreadsheets, every issued purchase order as a PDF, every attached file, and your setup, in a form that opens without EPO. The dashboard reminds you when you haven't downloaded one for a month.
You agree that this download is how we make your information available to you, and that we have no other obligation to keep, return or supply it. We recommend downloading a backup at least once a month and keeping it somewhere other than EPO.
3. Using EPO
- EPO is for business use. You confirm you're signing up for the purposes of a business.
- You're responsible for who you add to EPO, for having their permission to give us their details (see our privacy policy), and for keeping your staff list up to date.
- EPO's voice assistant can mishear. Approvers should check each request before approving it, and you're responsible for the purchase orders you issue and for your dealings with your suppliers.
- Don't misuse EPO, try to get into other clients' information, or use it for anything unlawful.
4. Trial and fees
The free trial lasts 30 days, unless we agree otherwise. After the trial, fees are as agreed with you in writing and are paid in advance. If you don't pay, we may pause your account. You can still sign in and download a backup while your account is paused.
5. Limit of our liability
To the extent the law allows:
- Our total liability to you for everything arising out of or in connection with EPO, whether in contract, tort (including negligence) or otherwise, is limited to a refund of the most recent payment you made to us for EPO. If you haven't paid us anything, for example during a free trial, it is nothing.
- We're not liable for any indirect or consequential loss, loss of profit, revenue, business or data, or for the cost of replacing the service.
- This applies however the loss arises, including if EPO stops working temporarily or permanently, if information is lost, or if a purchase order is wrong, late or not issued.
6. Consumer law
You're acquiring EPO in trade, for business purposes. So the Consumer Guarantees Act 1993 does not apply, and you and we agree that sections 9, 12A, 13 and 14(1) of the Fair Trading Act 1986 do not apply. We both agree this is fair and reasonable.
7. Ending
You can stop using EPO at any time by telling us at hello@epo.nz. We can end or pause your account at any time. When an account ends, download a backup first: we delete your information within 90 days, as set out in our privacy policy.
8. Changes
We may change these terms. We'll post the new version here with the date it was updated. If you keep using EPO after a change, you accept the new terms.
9. General
These terms, with our privacy policy and any written pricing agreement, are the whole agreement between us about EPO. If any part is unenforceable, the rest still applies. We may transfer these terms, and your account, to another company that takes over EPO; we'll tell you if we do. New Zealand law governs these terms, and New Zealand courts have jurisdiction.
